The Maintenance Administrator provides administrative support to day-to-day maintenance activities across the College’s facilities. As a skilled user of the College’s online maintenance reporting tool, the post-holder supports its effective use across the College and ensures maintenance requests are passed to the relevant colleagues (such as housekeeping and accommodation). The post-holder assists in the communication of planned preventative maintenance work to students, academics and College staff, and is responsible for handling maintenance administration, such as placing orders with suppliers and reconciling delivery notes and invoices.

The Maintenance Administrator is also responsible for administrative work relating to health and safety for the department by maintaining and updating records that ensure compliance with safety regulations and College policies. This includes assisting the Maintenance Manager with maintaining digital and hard copy records of health and safety documentation, including risk assessments, COSHH, asbestos, and gas safety records. The postholder is the point of contact for external contractors and provides induction information to ensure they follow the College’s procedures and site protocols.

To be successful in your application, you will need to have previous experience in an administrative role, a methodical and efficient approach to office procedures, excellent organisational and prioritisation skills, and the ability to communicate and collaborate effectively with a wide range of people. The successful candidate will be a proactive team player, with the ability to provide excellent customer service. Good IT skills, strong attention to detail, an ability to accurately maintain and update records, and a flexible and cooperative approach to the role will be essential.

Working at St Antony’s College

This is a permanent, part-time post (0.5 FTE, 17.5 hours per week).

We can offer some flexibility with the exact working hours, which will be agreed with the successful candidate. Office working hours are normally 9.00am to 5.00pm on Mondays to Fridays, with an unpaid hour for lunch each day.

The Maintenance Administrator will be paid on the University grade 4 scale, currently £13,169 – £14,979.50 gross p.a. (£26,338 – £29,959 FTE) plus £750 Oxford weighting (£1,500 FTE). There is a probationary period of three months.
